2. Licensing & Subscription
Q: How is the license model structured?
A: The B1UP AI Assistant is sold as a subscription-based per-user license.
The number of databases does not affect the license cost, and it does not matter whether your existing B1UP licenses are subscription or perpetual.
Once a user has a valid AI Assistant license assigned, they can use the AI functionality without any usage limits.
A: No. All AI processing is covered by the B1UP AI Assistant subscription. You do not need to purchase your own OpenAI or other LLM subscription.
3. Security & Access Control
Q: Do you share any business data with the AI model or externally?
A: No. The B1UP AI Assistant never sends or shares any business or customer data outside your environment.
The solution uses a RAG (Retrieval‑Augmented Generation) approach, which ensures that:
- The AI receives only the structure of your database (tables and field names).
- No business data or values are ever sent to the AI model.
- All your actual data remains securely inside your SAP Business One environment at all times.
In short: Your business data stays fully internal and never leaves your system.

Q: Is the solution role-based?
A: Yes. The AI Assistant uses a dedicated roles configuration system. Each role controls which types of SAP Business One data a user is allowed to query. This lets you restrict access based on job function, for example, allowing a Production Manager to work with production-related data while blocking access to financial data.

4. Functionality & Capabilities
Q: Is it possible to create or modify documents with the AI Assistant?
A: Currently, no. The assistant can retrieve and summarize data but cannot create or modify SAP Business One documents.
Q: What does “zero configuration” mean?
A: It means that once a user has a valid license assigned, the module can be activated immediately in the B1 Usability Package with no additional setup. No training, configuration, or technical preparation is required.

Q: What Large Language Model (LLM) does it use?
A: The solution uses ChatGPT 4.1 Mini as the underlying LLM.
Q: Can I change the LLM?
A: Not at the moment. Switching between different AI models is not supported yet.
