1. Intro
The usage of beas terminal licenses has been improved starting from beas version 2021.03, allowing better management of user concurrency.
With the New License Administration window, it is now possible to assign terminal licenses to workstations, personnel, or sap users, helping to keep these licenses reserved for the business critical bottlenecks. This new functionality can be extremely useful if the end customer is running on an environment with mixed desktop and web terminals.

Before installing version 2021.03 of beas, you should make sure that the concurrency of terminal users has not increased since the initial purchase of the licenses. In case it has increased, the end customer may require more licenses. In such a case, please contact your channel manager for further information.
PLEASE NOTE: the license assignment (Reservation) IS NOT MANDATORY. By default, if no assignment is done, beas will work with a CONCURRENT licensing model.
You should make reservations only in cases that you need to ensure that a specific workstation, user or personnel has always a license available.
Please also note that the flag Automatic Assign is mainly intended for the management of the beas basic users. The automatic assignment IS ALWAYS ACTIVE FOR TERMINAL LICENSES unless licenses are reserved as per the examples reported in this article.
2. Example Scenarios
For testing purposes, we have prepared an authorization group with the licenses for Goods Receipt and Goods Issue (both these Apps belong to the license group Issue, receipt and allocation)
We have assigned this access rights to 2 personnel master data:
- Personnel 1 = John Rambo
- Personnel 2 = James Bond
2.1. Scenario 1
- 2 licenses for the Apps issue/receipt/allocation are available
- 1 is assigned to personnel card number 1
- 1 license is not assigned (therefore beas will consider this free to be used by whoever logs into a terminal with an authorization for the issue/receipt/allocation Apps )
- login in Chrome with personnel card nr 1 – ok
- login in Firefox with personnel card nr 1 – ok
- Now both licenses are in use
If you will now try a login, for example using the beas fat client terminal with personnel 1 the license will not be available (beas will not allow a 3rd license to be in use).
You will be still able to login to the terminal BUT THE APPS ASSIGNED TO THE USER’S AUTHORIZATION GROUP WILL BE GREYED OUT.
2.2. Scenario 2
- 2 licenses for the Apps issue/receipt/allocation are available
- 1 assigned to personnel 1
- 1 assigned to personnel 2
- login in chrome with personnel 1 – ok
- login in firefox with personnel 1 – The license will not be available as it’s reserved for personnel 2
If you instead login on the Web app or on the beas fat client terminal with personnel nr 2 the license will be available as it has been reserved for this card number
2.3. Scenario 3
This is a combination of license assignment to a workstation and a personnel card number (please read this example carefully).
Please also note: while the workstation name is captured automatically by beas when logging in from the beas fat client terminal, in order to enable the use of the workstation name on the Web Apps you will have to:
Activate this option in the basic settings of the terminal functions (attendance – master data – terminal functions – basic settings)
Back to the scenario description:
- 2 licenses for the Apps issue/receipt/allocation are available
- 1 is assigned to personnel 2
- 1 is assigned to workstation SAPSERVER10
IMPORTANT: the system always checks the assignment of licenses with the following priority:
- Workstation
- User
- Card Number
- If a user is LOGGING IN (either on web apps or on the fat client terminal) with personnel card number 2 on workstation SAPSERVER10, he will go through
- If now another user attempts Login to the same workstation with personnel card nr 1 the license WILL NOT BE available
In this scenario the effective number of licenses in use is 1. Because though the 2nd license is reserved for personnel card number 2, the second license will only be available when personnel card number 2 logs in at first.
The same concepts described above are valid when you are reserving a license for the User.
PLEASE NOTE: a user license assignment IS ONLY VALID FOR A LOGIN WITH THE BEAS FAT CLIENT TERMINAL. The Web Apps can use only Card Number and Workstation ID
